Title: Special Events Coordinator

Job Status: Part time 30 Hours per Week

The Special Events Coordinator working in collaboration with the Health Foundation team, will provide leadership in the planning, coordination, and evaluation of Medicine Hat & District Health Foundation’s fund raising events and annual fund raising activities such as direct mail.

Major Responsibilities

1.Manage all Foundation events external and internal

2.Annual Direct Mail

3.Manage Social Media

Specific Duties

EVENT COORDINATION

Manage and build relationships with prospective donors and existing donors in relation to events and fundraising activities.

Manage and maintain recognition and stewardship of event donors

Manage, coordinate and organize events both third party and Foundation initiated. That includes:

oBudgeting

oGaming applications and reports

oManaging committees

oPlan and manage the communication and promotion of all events

oSupporting third party event organizers

oProviding final event report with financial analysis

oSupporting volunteers

Develop, organize and implement new events, from concept to completion, ensuring they operate smoothly, efficiently, and generate maximum revenue and exposure.

Responds to enquiries from the public about events, including assisting with media requests.

Current Events include:

Media events (in coordination with the team)

Friends of the Foundation (annual donor recognition event)

Support of Radio-a-thon

Tribute Tree

Volunteer appreciation night(s)

50/50 staff pay day lottery

Pull tickets

Annual signature event

Walk to Remember

Third party events

Daily or frequent tasks include:

Balancing pull tickets

Balancing 50/50 by cross referencing payroll reports with office reports

Submitting by-weekly reports to payroll

Ensure winners receive their funds in a timely manner

Fundraising/ Administrative

  • 50/50 Jackpot organization, Bookkeeping
  • Pull Ticket Organization, Bookkeeping
  • Casino Organization, Bookkeeping
  • All gaming applications, and reporting
  • Event budgets
  • Final reports on all events

ANNUAL DIRECT MAIL

Responsible for planning and implementing semi-annual direct mail appeals

oDevelop time line and budgets

oWorking with the Foundation team to develop the topic for the appeal letters

oOrder supplies such as letter head and envelops

oUtilizing the data base history to determine appropriate donors to contact

oMaintain and grow the direct mail program from a financial perspective

oSeek creative ways to keep the program moving in a forward direction

oReport on out comes both financial and donor reports

oDevelop an email appeal program

SOCIAL MEDIA

Responsible for maintaining all social media platforms currently supported by the Foundation.Using the Foundation’s social media strategy as the guideline and template.

Experience

  • Two or more years of office experience in a not-for-profit organization or experience in event planning, marketing and/ or communication, customer service related position.
  • CFRE would be an asset
  • Education in Office Administration, Business Administration, Marketing or related fields would be an asset but not a requirement

Working Environment

  • A standard work week is Monday thru Friday 9:00am – 3:00pm but additionally hours may be required in the evenings, weekends to accommodate events and activities representing the Health Foundation
  • This is a permanent position
